To scan a document to PDF with a phone or laptop camera, put the page flat on a plain, well-lit surface, take a straight-on picture of each page, let a scanner tool straighten and clean the pictures, and save them as one PDF. A browser-based scanner needs no app, and a good one keeps everything on your device. For sharp, small files choose black and white for text and greyscale for small print.
- Light and angle matter more than the camera: even light, no shadows and a camera parallel to the page.
- The scanner's job is to find the page edges, correct the perspective, whiten the paper and join the pages in order.
- Black and white gives the smallest PDF for text; colour is only needed for stamps, logos and photos.
- A scanned PDF is made of pictures, so its text is not searchable until you run OCR.
- Scan on-device for contracts, ID and bank papers: nothing should be uploaded to someone else's server.
Step by step: scan paper to PDF
- Prepare the page. Flatten folds and remove staples. Use a dark, plain surface under a white page: the contrast lets software find the edges.
- Light it evenly. Daylight from a window or a lamp on both sides avoids the shadow of your phone and arm.
- Frame the page. Hold the camera directly above the page, parallel to it, and fill most of the frame. A slanted photo is corrected in software, but every correction costs sharpness.
- Scan every page. With our Scan to PDF tool the camera stays on after each shot, so you simply keep scanning. Check the thumbnails, rotate or delete a bad one and reorder pages if needed.
- Choose the look and size. Pick A4, US Letter or the picture's own size, and a quality that fits where the file is going.
- Create and check the PDF. Open it and read every page at full size before you send it.
What a scanner does to a photo
A phone photo of a page has four problems that a scanner fixes in turn:
- The page is not square to the camera, so it looks like a trapezoid. The scanner finds the four corners and maps them to a rectangle (a perspective correction).
- The background is part of the picture. Cropping to the page edges removes the table and keeps the file smaller.
- The paper is grey or yellow and unevenly lit. Levelling the colours turns the paper white and keeps the ink dark.
- Colour is wasted on plain text. Greyscale or black and white versions are much smaller than a colour photo.
Colour, greyscale or black and white?
| Mode | Use it for | Typical size per page |
|---|---|---|
| Black and white | Letters, forms, typed contracts, bulk scans | About 100 to 250 KB |
| Greyscale | Small print, books, pages with pencil or light ink | About 250 to 500 KB |
| Clean colour | Stamps, signatures in blue ink, logos, charts | About 300 to 700 KB |
| Original photo | Pictures and drawings | 1 MB or more |
Sizes depend on the paper, the resolution and the quality setting. If a file is still too big for an email or a portal, see how to reduce PDF file size.
Privacy: where does the scan go?
Many scanner apps and websites upload each page to a server for processing. That is a poor fit for passports, contracts, medical letters and bank statements. Our scanner works in your browser: the camera frames, the straightened pages and the PDF stay in memory on your device, and nothing is sent anywhere. You can check this in your browser's network panel, where no request carries your pictures. Whatever tool you use, delete scans you no longer need from shared folders and cloud backups.
Can I search or copy text from a scanned PDF?
Not directly. A scanned page is a picture, so there is no text to select. To get the words, run optical character recognition on the pictures, for example with Image to Text (OCR), and keep the text next to the PDF. Scanning in good light at a sensible resolution gives OCR much better results than a dim, slanted photo.
After scanning
- Merge the scan with other PDFs, or split a long scan into parts.
- Compress the PDF if it is too large to email.
- Protect it with a password before sending sensitive documents.
Frequently asked questions
How do I scan a document to PDF on my phone for free?
Open an online scanner in the phone's browser, take a picture of each page and save them as one PDF. There is nothing to install, and the best ones process the pictures on the phone itself.
How do I scan multiple pages into one PDF?
Use a scanner that keeps the camera on between pages and lists them in order. Scan every page, reorder or delete pages if needed and create one PDF at the end.
Why is my scan blurry or shadowed?
Usually the light is uneven or too dim, or the camera was slanted or moved. Use even daylight, hold the camera still above the page and fill the frame. Tapping to focus before the shot helps on phones.
What resolution should I scan at?
A page filling a modern phone camera frame gives roughly 200 to 300 DPI at A4, which is enough for reading and for OCR. Higher is rarely needed.
Is a phone scan accepted as a legal copy?
It depends on who asks. Many offices accept a clear, complete scan of a document; some require the original, a certified copy or a specific format. Check the requirements of the organisation first.
